How to create a weekly construction schedule report in Google Sheets

Set up the Scheduler Agent’s workbook in three steps: get the template, fill in the plan and weekly progress, then check it. Every screen is pictured.

Komander.ai Panduan · 6 min read · Includes the agent workbook

The Scheduler Agent compares the work plan with progress on site every week, and tells you early which work items are falling behind. It reads one workbook. This guide shows how to set it up in three steps, with a picture of every screen.

  1. 1Get the templateChoose, preview, download. About 5 minutes.
  2. 2Fill in plan and progressThe plan once; progress every week.
  3. 3Check, then sendAlready have an S-curve or weekly report? Check it here.

Step 1 · Get the template

Choose Schedule & progress. If the Cost Agent reads the same workbook, choose Cost + Schedule (complete): the RAB Upah tab is shared.

Swipe sideways to see every column →
Schedule & progress template preview window
Press Preview to see every tab before you download.
  • Yellow title: a column you fill in.
  • Blue title: calculated by a formula. Don’t type in it.
  • Rows 5–6: fictional EXAMPLES. Replace or delete them.

Then press Download .xlsx (open it in Excel, or upload it to Google Drive) or Create in Google Drive (sign in with your Google account).

Step 2 · Fill in plan and progress

The first two tabs and the planned dates are filled once, from the approved schedule. Progress is updated every week up to the cut-off.

Three terms to know

  • Bobot (weight): how big one work item is compared with the whole project. Structure worth 40% of the labour RAB weighs 40%.
  • Cumulative: the total up to the cut-off, not just this week. Foundations at 90% means 90% of the foundations are done.
  • Project progress = the sum of weight × progress of every item. Structure 40% × 45% done = 18 points.

2a · Petunjuk & Info Proyek

Project details, once at the start.

Swipe sideways to see every column →
The Petunjuk & Info Proyek tab in the template, with example rows
The Petunjuk & Info Proyek tab: fill column B (yellow). The values shown are fictional EXAMPLES.
  • Project code, name, block or scope, number of units
  • Planned start and finish from the approved schedule
  • Progress cut-off: the last day the weekly report covers

Common mistake: Use the same cut-off date as the cost report, so cost and progress compare the same week.

2b · RAB Upah

The list of work items and their weight. The Scheduler Agent uses it to know how big each item is.

Swipe sideways to see every column →
The RAB Upah tab in the template, with example rows
The RAB Upah tab: fill the yellow titles; blue titles are calculated; replace the EXAMPLE rows.
  • Work item, planned quantity, unit, planned labour rate
  • Kode Pekerjaan (work code), for example UPH-01: the same code is used in Jadwal & Progres and Laporan Mingguan
  • Bobot % (weight) is calculated from each item’s value; all items add up to 100%

Common mistake: If you already filled RAB Upah for the Cost Agent, use that same tab. Don’t make a second work list with different codes.

2c · Jadwal & Progres

The plan for each work item and its progress. One row per work item per reporting period.

Swipe sideways to see every column →
The Jadwal & Progres tab in the template, with example rows
The Jadwal & Progres tab: fill the yellow titles; blue titles are calculated; replace the EXAMPLE rows.
  • Work code and description, as in RAB Upah
  • Planned start, planned finish, duration (days), weight %
  • Period start and cut-off, planned % and actual physical % (cumulative up to the cut-off), status

Common mistake: Don’t move the planned dates because work is late. The original plan stays; the delay shows as the gap between planned and actual.

2d · Laporan Mingguan

The weekly report, one row per work item.

Swipe sideways to see every column →
The Laporan Mingguan tab in the template, with example rows
The Laporan Mingguan tab: fill the yellow titles; blue titles are calculated; replace the EXAMPLE rows.
  • Report number, week number, period start, period end (cut-off)
  • Progress this week only and cumulative (up to the cut-off), planned and actual
  • Planned and actual quantity, status, obstacles, next step, prepared and checked by, evidence (photos, opname)

Common mistake: Don’t add last week’s cumulative progress to this week’s: the cumulative figure already includes every earlier week.

Planned and actual costs are covered in the cost report guide.

Watch each column being filled

Choose a tab and press Play: each column is highlighted with a fictional example and how to fill it.

What is this tab? Name, block, number of units, start and finish dates, and the report cut-off date. Every agent reads the project details from here.

Fill column B (Isi) for every label. Labels with Wajib? = Ya are needed by the Cost and Scheduler agents. The values in column B are fictional EXAMPLES.

Step 3 · Already have an S-curve or weekly report? Check it

Many teams already keep an S-curve, a Gantt schedule and weekly reports. Upload the workbook below: the tool recognises the per-item schedule and adds the missing columns. S-curves and weekly reports are left as they are, with an explanation of where their data goes. Your values and formulas are not changed, and the file isn’t sent anywhere.

A 15-second example with a fictional workbook: choose the report type, upload, read the result, download the copy.
The report summary
1. The result: the schedule is recognised; the S-curve and weekly report are left as they are.

2. Open a sheet: the columns the agent needs are ticked.
The download button
3. Download the copy (or save to Google), then fill the new yellow cells.

Workbook in a mess? Follow the fix plan

A first workbook from site often mixes several blocks in one tab, writes dates and numbers as text, or lays out progress with the dates across the columns. The tool does more than match columns: for each sheet it says what it is, where its data should go, and what to fix. The easiest route: download a template in Step 1, then move the data across sheet by sheet following this plan.

Swipe sideways to see every column →
Workbook fix plan
The fix plan: where each sheet’s data goes, in the BKM template and in the Format Komander.
How to fix one sheet
In each sheet’s card: the problems found and the steps to fix them, for example a progress table with dates across the columns.

Complete your workbook

Upload one .xlsx file containing all sheets, or select a Google workbook. Then choose how to complete it. Data is processed in your browser. Google writes happen only when you choose Save.

No workbook yet? Start from a template. Using your own workbook? Check it here so the columns the agent needs are added.

1. Choose the report type

Only this report type’s template tables are matched, so the analysis stays focused.

2. Choose the workbook

Use Google Sheets

Connect your account and choose which workbooks to share. You can still upload local files below.

How to open the result in Google Sheets

Download the copy, upload it to Google Drive, and open with Google Sheets. Choose File → Save as Google Sheets. Your original workbook stays unchanged. For a new workbook with all template tabs, formulas and validations, use Create my Google workbook above.

Before you send it to the agent

  • The EXAMPLE rows are replaced or deleted.
  • Work codes are exactly the same in RAB Upah, Jadwal & Progres and Laporan Mingguan.
  • The weights of all work items add up to 100%.
  • Planned dates were not moved because of delays.
  • Actual progress is cumulative up to the cut-off, with evidence (photos, opname).
  • The cut-off matches the cost report.

Common questions

What goes into a weekly construction progress report?

For each work item: this week and cumulative progress, plan against actual, site problems and next steps. It shows whether the project is on schedule.

How do I calculate physical progress?

Multiply each work item’s progress by its weight (its value divided by the total budget) and add them up. An item weighted 10% that is 50% done adds 5% to project progress.

What is schedule deviation?

The difference between planned and actual progress on the same date. A negative deviation means the project is behind: 45% planned and 40% actual is a deviation of minus 5%.

What is an opname?

A site measurement of completed work, usually a quantity or a percentage per item. It is the basis for actual progress and for paying labour contractors.

What about work measured in m3, such as cut and fill?

Progress can be recorded as a volume. The percentage is actual volume divided by planned volume: 79,108 of 85,000 m3 is 93%.
